How to Choose Which Retail Tech Conference to Attend

Most teams pick conferences by reputation and regret it. A more reliable filter is four questions, in this order.

1. What outcome are you actually buying? The events on this list serve genuinely different jobs, and the format tells you which:

An expo is a poor use of an executive's time if what they wanted was peer conversation. A curated summit is a poor use of a procurement team's time if what they needed was to see forty vendors in two days.

2. Who is actually in the room? Attendee seniority and function matter more than headline speaker names. Ask the organizer for the attendee breakdown from last year — by job title and company size. Reputable events will send it; the ones that won't are telling you something.

3. What is the real cost? The ticket is rarely the largest line. Budget for travel and accommodation at conference-week rates, three to four days of a senior person's time, and — if you're exhibiting — booth, build and staffing, which typically dwarfs everything else.

4. How will you measure whether it worked? Decide before you go. Meetings booked with target accounts, vendors shortlisted, a specific question answered, or hires sourced. "Good networking" is not a result you can act on next year.

Getting value once you're there

The difference between a productive conference and an expensive one is almost entirely preparation:

  • Book meetings before you arrive. Most events publish an attendee list or an app several weeks out. The people worth meeting have full calendars by day one.
  • Split up if you're sending more than one person. Two people in the same session is a wasted ticket.
  • Prioritize workshops and roundtables over keynotes. Keynotes are usually recorded; the small-format sessions are where you can actually ask your question.
  • Write it up within 48 hours. Notes taken on the flight home are worth ten times the same notes attempted the following week.
  • Follow up inside a week, while the conversation is still recent for the other person too.
